Terms and conditions for the Pamela Swap

The Pamela Swap is a travel campaign organised by Helsinki Partners swapping one Pamela from Ontario, Canada with one Pamela from Helsinki, Finland — each travelling to the other’s city for seven days with a companion of their choice. The terms and conditions for each set of participants are set out separately below. Please read the section that applies to you carefully before applying.

TERMS & CONDITIONS  FOR PAMELAS FROM ONTARIO 

(Pamela from Ontario + 1 Travelling to Helsinki, Finland) 

1. Introduction 

These Terms & Conditions (“Terms”) govern participation in The Pamela Swap marketing campaign (“The Pamela Swap”), organized by Helsinki Partners Oy (“Helsinki Partners” or “Organizer”). 

The purpose of the Pamela Swap is to promote travel to Helsinki, Finland by selecting one participant named Pamela from Ontario together with one travel companion (together, the “Participants”) to take part in a seven-day travel experience in Helsinki, Finland in August 2026 (“Trip”). 

Participation in the Pamela Swap is free of charge and no purchase is necessary. The Participants shall bear all other costs not covered by the Organizer such as Participants’ personal spending or any extensions or changes to the trip. 

This Pamela Swap is not sponsored, endorsed, administered by, or associated with Instagram or Meta Platforms, Inc. 

By applying to participate in the Pamela Swap, the Participants agree to these Terms and to the applicable Campaign Privacy Policy. The terms will become binding once the selection has been made and communicated to the Participants. 

Organizer selects the Participants at its sole discretion, and the decision is final without any right of appeal. 

2. Organizer Information

Helsinki Partners is a marketing, investment, and talent attraction company owned by the City of Helsinki. 

3. Eligibility 

To be eligible to participate, the Participants must: 

  • The main participant must be named Pamela (legal or commonly used name) 
  • Be at least 18 years of age at the time of application  
  • Be residents of Ontario 
  • Be private individuals (not representing a brand or company) 
  • Submit on shared completed application form and casting call video in accordance with the instructions provided on https://www.myhelsinki.fi/the-pamela-swap/ 
  • ensure that they are medically fit to travel and participate in the reasonable ordinary activities communicated in advance by the Organizer; 
  • Be comfortable being filmed and sharing parts of the Pamela Swap´s journey online  
  • Not being subject to any sanctions, restrictive measures, or asset freezing measures imposed by the European Union, the United Nations, or any competent authority; nor having close links with, or being owned or controlled by, or acting on behalf of, any natural or legal person or entity that is subject to such sanctions or measures. 
  • Not being subject to any criminal case pending against Participants at the time of application, Participants are not subject to a pre-trial investigation and that Participants are not previously convicted of a crime.  
  • Comply with these Terms and all instructions provided by the Organizer  

Furthermore, employees, contractors, representatives, or immediate family members of the Organizer, its partners, or any parties directly involved in organizing the Pamela Swap are not eligible to participate. 

Additionally, residents of countries where Instagram is blocked, banned, or materially restricted cannot participate. 

The Organizer reserves the right to verify eligibility and disqualify any applicant who: 

  • provides false or misleading information;  
  • violates these Terms;  
  • engages in fraudulent or inappropriate conduct; or  
  • otherwise compromises the integrity of the Pamela Swap.  

Disqualification may also take place after the selection has been made, if the grounds emerge after the selection has been made. 

4. Application Process 

Applications must be submitted through the official Pamela Swap application page at: https://www.myhelsinki.fi/the-pamela-swap

Applicants must: 

  1. Complete the online application form; and  
  1. Submit a casting call video in accordance with the published instructions.  

Participants will be selected based on the Organizer’s evaluation of submitted applications and casting call videos. 

Selection decisions are made at the Organizer’s sole discretion and are final. 

Selected Participants will be contacted directly by email or phone. Public announcements may also be made through MyHelsinki and Organizer’s or its partner’s marketing and social media channels. 

5. Participation Requirements 

In addition to Section 3. Eligibility the following requirements applies. 

Participation is non-transferable. 

If selected, Participants agree to: 

  • personally participate in the Trip;  
  • provide all necessary information required for arranging events and the related tickets 
  • be responsible for the necessary official travel documents, valid passports and travel insurance in place; 
  • be responsible for visas or entry permissions if required; 
  • be responsible for and compliance with travel and customs regulations; 
  • appear in Pamela Swap-related photography and video documentation;  
  • participate in reasonable scheduled activities and pre-arranged program determined by the Organizer and communicated in advance;  
  • comply with the instructions given by the Organizer and if uncertain, proactively ask for advice and information from the Organizer’s contact point; 
  • conduct themselves respectfully and responsibly throughout the Pamela Swap and Trip: 
  • behave respectfully towards other participants, staff, partners, media representatives, and the public;  
  • comply with applicable laws and regulations;  
  • avoid discriminatory, abusive, threatening, or unlawful behavior;  
  • avoid conduct that may materially damage the reputation of the Organizer, its partners or Pamela Swap.  

If a selected Participants becomes unable to participate, the Organizer may select an alternate participants without liability or compensation. 

The Organizer may request valid identification documents to confirm eligibility and travel arrangements. 

Disqualification may also take place after the selection has been made, if the grounds emerge after the selection has been made. 

6 Contents and Rights 

6.1 Participant Content 

Participants may create and publish social media posts, videos, photographs, and other content related to the Pamela Swap (“Participant Content”). Participants agree to comply with the terms and policies of applicable social media platforms. 

Participants grant Helsinki Partners and its partners unlimited, irrevocable, perpetual, worldwide, non-exclusive, free of charge and royalty-free, transferable right to: 

  • use,  
  • reproduce,  
  • copy, 
  • make or commission modifications theretopublish,  
  • display,  
  • edit,  
  • distribute and  
  • share  

Participant Content for marketing, promotional, editorial and Pamela Swap-related or tourism promotion purposes across digital, social media, print, video, and other communication or social media channels. Organizer has the right to assign or transfer without any fee the same rights to any third party it deems appropriate for the Pamela Swap-related or tourism promotion purposes. 

Organizer’s right includes the right to use Participants’ names, likenesses, voices, photographs, and biographical information as incorporated into Pamela Swap-related or tourism promotion purposes and materials. 

Participants retain ownership of their original Participant Content. 

6.2 Organizer Documentation 

The Trip may be photographed, filmed, or otherwise documented by Helsinki Partners and its partners. Ownership of and intellectual property rights in the Organizer’s materials belong exclusively to the Organizer or a third party. 

Participants consent to the creation and use of such documentation materials for promotional and marketing purposes related to Helsinki Partners, the Pamela Swap, and tourism promotion activities. 

The Organizer may edit or adapt such materials for publication. 

6.3 Participant Warranties 

Participants represent and warrant that: 

  • they own or have the necessary rights to all submitted content by Participants;  
  • Participants’ submitted content does not infringe third-party rights;  

submitted content does not contain unlawful, defamatory, discriminatory, or offensive material or otherwise promote illegal activities. Organizer does not accept any form of hate speech, discrimination, or violence in any form whatsoever. 

Participants are solely responsible for obtaining any necessary permissions from third parties appearing in submitted materials. 

If requested by the Organizer, Participants must immediately delete or amend such content and posts in Participants’ social media accounts, which the Organizer considers to be breach of these Terms. 

7. Travel and Accommodation 

If selected, the Organizer will arrange: 

  • round-trip economy-class flights between Toronto and Helsinki;  
  • accommodation for approximately seven days (Trip);  
  • selected meals and organized Pamela Swap activities.  

The Organizer reserves the right to determine travel schedules, accommodation providers, and activity arrangements at its discretion. 

Travel to and from Toronto airport at the Participants’ own responsibility and expense. 

8. Insurance 

Participants are responsible for obtaining adequate travel insurance at their own expense, including: 

  • medical coverage;  
  • accident coverage;  
  • personal liability coverage;  
  • luggage and travel disruption coverage.  

Proof of insurance may be requested before departure. 

9. Compensation 

No monetary compensation will be paid to Participants. 

The travel experience, accommodation, and included activities constitute the full consideration provided under the Pamela Swap. The Organizer is not obligated to pay any other fee, compensation or other remuneration for Participants participation in the Swap. 

Participants are solely responsible for any taxes or reporting obligations arising under applicable laws. 

If a Participant withdraws after accepting the selection, the Organizer reserves the right to cancel arrangements without compensation and select an alternate participants. 

10. Privacy and Personal Data 

Personal data will be processed in accordance with applicable Finnish and EU data protection laws and the Campaign Privacy Policy. 

Information regarding personal data processing will be available on the Pamela Swap website. 

11. Liability 

Participation in the Pamela Swap and the Pamela Swap activities is voluntary and undertaken at Participants’ own risk. 

To the maximum extent permitted by law, Helsinki Partners shall not be liable for: 

  • indirect or consequential damages;  
  • personal loss or property damage;  
  • travel disruptions;  
  • acts or omissions of third-party service providers.  

Nothing in these Terms limits liability that cannot legally be excluded under applicable law. 

If the Participants are in breach of any provision of these Terms, the Participants must indemnify and hold Helsinki Partners harmless to the extent caused by Participant’s breach of all direct damages that the breach has caused. 

12. Force Majeure 

The Organizer shall not be liable for delays, cancellations, or failures caused by circumstances beyond its reasonable control, including but not limited to: 

  • natural disasters;  
  • governmental restrictions;  
  • pandemics;  
  • transportation disruptions;  
  • labor disputes;  
  • security incidents.  

The Organizer reserves the right to modify, postpone, or cancel the Pamela Swap if necessary. Participants are not entitled to compensation in case of cancellation due to force majeure. 

13. Term and Termination 

These Terms become effective once the selection has been made, selected Participants receive notification of their selection and remain in effect until completion of the Pamela Swap and related promotional activities. 

The Organizer may terminate the agreement with immediate effect and the Participants’ participation immediately if the Participants breaches these Terms or engages in conduct deemed harmful to the Pamela Swap or the Participants fails to perform their obligations under these Terms. 

The Participants may terminate the agreement with immediate effect if the Organizer fails to perform its obligations under these Terms. 

Sections relating to Participant Content, Organizer Documentation, Participant Warranties, Privacy and Personal Data, Liability and Governing law shall survive termination. 

14. Governing Law 

These Terms shall be governed by the laws of Finland. 

Any disputes arising from these Terms shall be resolved primarily through negotiation. If no resolution is reached, disputes shall be submitted to the District Court of Helsinki, Finland. 

15. Miscellaneous 

15.1 Assignment 

Participants may not transfer or assign their participation rights under these Terms without the Organizer’s prior written consent. 

15.2 Entire Agreement 

These Terms constitute the entire agreement between the Participants and the Organizer regarding the Pamela Swap and supersede any prior communications or understandings relating to the Pamela Swap. 

15.3 Amendments 

The Organizer reserves the right to amend these Terms where reasonably necessary for the administration of the Pamela Swap, compliance with applicable laws, or operational requirements. 

Updated Terms will be published on the Pamela Swap website and communicated to the applicants. 

Once the selection is final, necessary amendments are communicated to the Participants and done only without materially affecting the Participants’ rights. 

15.4 Severability 

If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions shall remain in full force and effect. 

TERMS & CONDITIONS FOR PAMELAS FROM HELSINKI 

(Pamela from Helsinki + 1 Travelling to Toronto and Ontario, Canada) 

1. Introduction 

These Terms & Conditions (“Terms”) govern participation in The Pamela Swap marketing campaign (“The Pamela Swap”), organized by Helsinki Partners Oy (“Helsinki Partners” or “Organizer”). Destination Canada is providing certain prizes in connection with The Pamela Swap. Destination Canada is not sponsoring, organizing or administering The Pamela Swap. 

The purpose of the Pamela Swap is to promote travel to Toronto and Ontario, Canada by selecting one participant named Pamela from Helsinki together with one travel companion (together, the “Participants”) to take part in a seven-day travel experience in Toronto and Ontario, Canada, in August 2026 (“Trip”). 

Participation in the Pamela Swap is free of charge and no purchase is necessary. The Participants shall bear all other costs not covered by the Organizer such as Participants’ personal spending or any extensions or changes to the trip. 

This Pamela Swap is not sponsored, endorsed, administered by, or associated with Instagram or Meta Platforms, Inc.

6 Contents and Rights
